Introduction

The Anthony Walker Foundation ("we", "us", "the Foundation") is committed to protecting your privacy. This notice explains what personal information we collect when you use this website, why we collect it, how we look after it, and the rights you have over it.

We are the "data controller" for the information described here. If you have any questions about this notice or about how we handle your information, please get in touch.

The information we collect

We only collect information that we need. Depending on how you use the site, this may include:

  • Contact enquiries. When you use our contact form we collect your name, email address, the subject and the message you send us.
  • Newsletter sign-ups. When you subscribe to updates we collect your email address and a record of your consent, including the date and the page you signed up from.
  • Hate incident reports. When you use our Speak Out service you can choose to report anonymously. If you provide details, we collect what you tell us about the incident and, only if you choose to share them, your contact details. See Reporting a hate incident below.
  • Technical information. Like most websites, our servers automatically record limited technical data such as your IP address, browser type and the pages you request, which we use to keep the site secure and running properly.
  • Analytics information. If you consent to analytics cookies, we collect information about how you use the site. See Cookies and analytics.

We do not buy personal information from third parties or build marketing profiles about you.

How we use your information

We use your personal information to:

  • respond to your enquiries and provide the support or information you ask for;
  • send you our newsletter and updates, where you have asked us to;
  • receive, assess and, where appropriate, refer hate incident reports;
  • keep the website secure and prevent misuse, fraud and spam;
  • understand how the site is used so we can improve it;
  • meet our legal and regulatory obligations as a charity.

Our lawful bases for processing under the UK GDPR are:

  • Consent — for the newsletter and for analytics cookies. You can withdraw consent at any time.
  • Legitimate interests — to answer enquiries, run the Speak Out service, and keep the site safe and working. We balance these interests against your rights.
  • Legal obligation — where we have to keep records or disclose information to comply with the law.

Reporting a hate incident

Our Speak Out service is designed so that you can tell us about a hate incident safely.

  • Anonymous by default. You do not have to give us your name or contact details. If you report anonymously we will not be able to identify you.
  • Encrypted at rest. The details of every report are encrypted before they are stored. Only authorised Foundation staff can decrypt and read a report, and only to assess and act on it.
  • Special category data. A report may reveal information about race, ethnicity, religion, sexual orientation or disability. We process this to provide a service of substantial public interest — supporting victims of hate crime — and, where you give them, on the basis of your explicit consent.
  • Referrals. With your knowledge, we may refer a report to the police or to a partner support organisation. We will not share identifying details without a lawful basis to do so.

Cookies and analytics

We use a small number of cookies and similar technologies:

  • Essential cookies that remember your cookie choices and keep secure areas of the site working. These do not need your consent.
  • Analytics cookies (Google Analytics) that help us understand how the site is used. These are only set if you accept them in our cookie banner, and you can change your choice at any time from the banner or your browser settings.

If you do not consent to analytics, no analytics cookies are set and no analytics data is sent.

Sharing your information

We do not sell your personal information. We share it only where necessary:

  • with service providers who help us run the website and communicate with you — for example our hosting and infrastructure provider (Cloudflare) and our email delivery provider — under contracts that require them to protect your data and use it only on our instructions;
  • with the police or a partner organisation when we refer a hate incident report, as described above;
  • where we are required to by law, or to protect the rights, safety or property of the Foundation, our staff or the public.

Some providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or standard contractual clauses to keep your information protected.

Keeping your information secure

We take appropriate technical and organisational measures to protect your information, including encryption of sensitive reports, access controls that limit who can see personal data, and transport encryption (HTTPS) across the site. No system is completely secure, but we work to reduce the risk and to respond quickly if something goes wrong.

How long we keep your information

We keep personal information only for as long as we need it:

  • Contact enquiries — up to 2 years after your enquiry is resolved, then deleted.
  • Newsletter subscribers — until you unsubscribe, after which we keep a minimal suppression record so we do not contact you again.
  • Hate incident reports — retained while a case is open and for a limited period afterwards for safeguarding, monitoring and legal reasons, then securely deleted or anonymised.
  • Technical logs — a short period only, for security and troubleshooting.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, or to restrict how we use it;
  • object to processing we carry out on the basis of legitimate interests;
  • withdraw consent at any time, where we rely on consent;
  • ask us to transfer certain information to another organisation.

To exercise any of these rights, contact us. We will respond within one month. If you reported anonymously through Speak Out, we may not be able to find your report, as it contains nothing that identifies you.

Children's privacy

This website is intended for a general audience. We do not knowingly collect personal information from children under 13 without the involvement of a parent, carer or teacher. Young people can use the Speak Out service; where a report concerns a child we handle it in line with our safeguarding policy.

Changes to this policy

We may update this notice from time to time. When we make significant changes we will update the date below and, where appropriate, tell you directly.

How to contact us

If you have any questions about this notice, or want to make a request about your information, please contact the Anthony Walker Foundation.

If you are not happy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113. We would welcome the chance to put things right first.
